How To Create A Print Template Sample

This article will detail how to create a print template sample using MS Word. At the bottom there will be examples that you can download and mimic or copy from to give you a starting point. You can also go to How To Create A .DOC Or .PDF Of An Existing Print Template to get a copy of a print template to mimic if you already have print templates in the system. Also, utilizing the Letterhead Formats Internal vs External page will also help in the creation of the print templates.

To create a print temple

  1. First, you need to open a new MS Word session and decide if this is a print template for a letter like document type or for a chart like document type.
     
  2. Next, you want to set the margins so that you know how everything will be laid out.
     
  3. To do this, go to Layout -> Click Margins -> Either select a common set of margins or customize the margins


     
  4. Next, you want to add in your letterhead if you are not using pre-printed stationary. Check out the Letterhead Formats Internal vs External page to see which way you should apply your letterhead. For this example, I will do an internal letterhead. The letterhead can contain logos or just text. This is one place where you may want to use some of the variables available to you so that you can have control over some aspects of the letterhead, such as the address.



    Variables in a print template are usually signified by an opening less than (<) and a closing greater than (>). Also, you can add in <break> or <blank line> to show how many break lines are needed between lines. If these are missing, we will base it off of what we see in the template. Also, make sure you tell what format you need names and dates to be in.
     
  5. After the letterhead, you now need to construct the stuff before and after the body of the print template which is considered the demographic and signature sections. You also need to construct the body section with information to further help in creating your template such as margin settings, font style/size, and any page 2 header/footer information. This body also will represent the approximate area in which the MTs typed dictation will be placed in the print template. See the below image for an example letter set up. Remember to use variables for text values that will need to be changed depending on what is dictated.


     
  6. Once you have everything positioned and have given the detail needed for us to build it, you then save the MS Word file so that you can attach it later to a ticket submission. How To Submit A Print Template Request and How To Attach A File To A Print Template Request are good articles to assist with this.

Warning: When submitting a print template request (See How To Submit A Print Template Request), please let the print template team know if you have changed the format in Client Maintenance -> Client Defaults -> Non-Workflow Settings -> Patient Name Format so that the team can set the proper format to match the request on the template based on what will actually be written. We will be checking this location for the setting if it not mentioned, which will also determine on how a name actually gets parsed.
