Adjusting Document Margins and Orphan Heights

This article will show you how to change the margins on a Print Template for a particular document type and cover letter. It will also explain what an Orphan Height is and how to adjust the settings. These settings can be useful if you need to adjust a document to compensate for space needed for letter heads, too much or little white showing in margins around text, or to adjust a document so more than just a line or two overflows onto the second page.

Please follow the following steps to access these features.

Important Note:

All of the changes discussed in this article are effective immediately and retroactive. These changes are simple to make, but could affect many documents at once. It is recommended that you determine what settings will be best for all of the documents it affects rather than trying to adjust the margins on a case by case basis.


Margins

Note: Internal vs External Margins

Only Internal margins can be updated via InCommand. External margins are independent from the Client Maintenance setting and must be updated by submitting a Print Template ticket to esone.support@deliverhealth.com.

DOCUMENT TYPES

Note: Changes are effective immediately, so you may print preview a transcription in InQuiry of the correct document type, user, and location to determine if the changes are desirable or if more changes are needed. See How To Preview a Print Template in InCommand and InQuiry on how to view a sample.

  1.  Under the "Client Maintenance" tab, select "Maintenance" menu then select "Document Types" from the list.
  2.  Select the document type and click below on the "Edit print template for [        ]" link. i.e. Letter noted in the below example.

  3.  A menu will then appear on the right side and there are a few extra choices you can make.

A.  If it is for a particular user or location, you can choose them from the "Print Templates Associated with this Document" list at the bottom left column. Just make sure to confirm that you loaded the correct one in the top right column.

B.  If you just have a global template for everyone keep the menus on All Users and All Locations as shown below:

  1. Expand the option "Document Margins" and you can now see the eight different margin options shown below. You can change the settings for top, bottom, right and left side margins. Keep in mind the first set of margins are for the overall document (All Pages). The second set of options is for just the 1st page settings if they differ from the remainder of the document (for example, a side letterhead is getting used). A "Page 1 Margin" setting of '0' will result in the "AllU Pages Margin" being used for the first page.

  2. After you have made your adjustments, remember to SAVE the changes by clicking on the save icon at the bottom-middle of your screen.
     

COVER LETTERS

Note: Changes are effective immediately, so you may print preview a cover letter of a transcription in InQuiry of the correct document type, user, and location to determine if the changes are desirable or if more changes are needed.   1. Changing the margins for cover letters are much the same as changing the margins for a document. You will need to follow steps 1 through 4 above but expand the Cover Letter Margins instead:

  2. Make sure you SAVE you changes.
     

ORPHAN HEIGHT

What is Orphan Height?

Orphan Height can be very useful if used correctly. When you set the orphan height, you are letting the template know that you want a specific amount of typed text ( in inches ) on the last page of the document. When less than the set length is on the last page, the margins of the document are altered to attempt to create more text on the last page. This will eliminate one or two line entries from appearing on the last page of your document. It does take into consideration the clinician's signature block area and cc list.

So if your document is 2 pages and only one or two lines end up on page 2, the orphan height will automatically adjust and increase margins to reduce lines on page 1 and add lines to page 2.

Please Note: When using the Orphan Height, margin errors can occur if page breaks are manually added. The adjustment will continually increase the margins on the document and check the last page length. Because the manual page break forces the last page to have only a few lines, this will throw off the adjustment and you will get many pages of only a few lines per page.

How to change the Orphan Height

  1. To adjust Orphan margins, follow steps #1 - 4 from above again but select "Template Options" this time and make the necessary adjustments. Note: 2 inches is the default setting for orphan height automatically when a new document type is created.

  2. Do not forget to SAVE your changes.

Custom Button

If only one document needs to be printed with an altered margin setting, use the Custom Button within the transcription viewer to select the custom margins and line spacing desired. Please see example images below.
