Creating Dictation Templates

Dictation Templates refer to segments of transcription that the medical transcriptionist (MT) incorporates as pre-defined text. This text is included in the transcription alongside the Document Template and the variable text entered by the MT. Often referred to as 'Normals,' Dictation Templates enable Dictators to swiftly insert commonly used phrases without the need to dictate the full content.

You can view, edit and create Dictation Templates in InCommand by navigating to:

InCommand > Client Maintenance > Templates > Dictation Templates

1.  Select the User on the left.


Note that Dictation Templates can be created for a specific user or can be created under a user and made available to all dictators at the Client. If the template will be used for all providers, check "Template for All Users" box. 

2.  Click the "Add" button to create a new Template.  Select an existing Template and click "Edit" to make changes to an existing Template.

3.  Fill in the Dictation Template in the editor window that appears. This is the same editing window that InScribe or InQuiry uses.

Notes:

- DO NOT copy/paste from an external program since that might carry over external formatting tags which can cause formatting issues in delivered reports.

- If you apply external formatting, you may utilize the Remove Formatting button (Tx) to assist in clearing it. Alternatively, you can transfer your content to Notepad and then copy and paste it from Notepad into your dictation template.

- DO NOT change the font or style information from the default as this will cause the dictation template to override the print template settings which can cause formatting issues in delivered reports.

4.  Press Save.

MT Notes

Now, when this Dictation Template is selected or loaded in InScribe, the text will appear at the cursor position. Transcriptionists can still delete parts of the templates if that is needed. To give them specific instructions on how to handle the template, use the MT notes part of the template window to type those in:

Attestation Templates

Attestation Templates are a form of Dictation Templates used by an Additional Authenticator via InQuiry when signing on another dictator's document.
