Enabling a Client, User, and Document Type, for ASR

This article will explain the steps to enable a client on ASR.

Step 1) If this is a new MTSO, New to Deliver Health ASR, make sure the MTSO is enabled for Deliver Health ASR. If MTSO is not new, then skip to Step 2.

Go to InCommand > Maintenance > Defaults > Transcription Company Information section. 

Check the Enable ShadowScribe Deliver Health box to enable the ShadowScribe ASR features for the MTSO.  Note: this is a Deliver Health Only option at this time.  If your MTSO is not enabled, someone from Deliver Health will need to do so.

 

 

Step 2) Enable the Document Type for Deliver Health

Go to InCommand > Client Maintenance > Document Types > Edit Document Type > Document Type Information

Select a Deliver Health Document Type from the drop down.  Selecting a document type enables the Deliver Health document type for ASR. If a document type is not selected then it will not go to ASR.

 

Select a Deliver Health document type that is the closest fit to the Deliver Health  document type.  In this example, the Deliver Health document type is a letter, the appropriate Deliver Health Document Type is the correspondence.

 

Work with the client or MTSO to determine the closet fit for the Deliver Health document type to Deliver Health document type mapping.

Note: If the client's preferred transcription format is set to "by user and document type" (see: InCommand > Client Maintenance > Client Defaults > Non-Workflow Settings), then you can set the document type preferred transcription format here. In this case this document type is going to be a structured transcription format.

If a document type is enabled, but MTSO or client only wants certain users to be excluded, some reasons: bad candidate for ASR, too many tables, etc. then click on the Edit ShadowScribe Users.  This will allow you to Include or exclude specific users for the Deliver Health document type.

 

Step 3) Enable the User for Deliver Health

Go to InCommand > Client Maintenance > Users > User Information

Select a Deliver Health Specialty from the drop down.  Selecting a specialty enables user for ASR. If a specialty is not selected then it will not go to ASR.

  

Select a Deliver Health Specialty that is the closest fit to the user.  In this example, we know the user specializes in Orthopedics, the appropriate Deliver Health Specialty is then Orthopedics.

 

Work with the client or MTSO to determine the closet fit for the Deliver Health Specialty.  If the client or MTSO doesn't know the specialty, then select the medicine specialty.

Note: If the client's preferred transcription format is set to "by user and document type" (see: InCommand > Client Maintenance > Client Defaults > Non-Workflow Settings), then you can set the user preferred transcription format under the InCommand > Client Maintenance > Users > Dictating Clinician Options section.  For the structured editor to load for an MT, BOTH the user and document preferred transcription format must be set to structured.

 

Step 4) Setup ShadowScribe Document and Dictation templates.

Whether the client's preferred transcription format is structured or unstructured, it's recommended to set up a ShadowScribe template.  Even if the client chooses NOT to setup a ShadowScribe Template, the MUST at a minimum set up the ShadowScribe formatting rules. To setup a ShadowScribe Template and/or formatting rules go to InCommand > Client Maintenance > Advanced Maintenance > ShadowScribe > Rules.

Step 5) Have the MTSO or client pick one of seven style guides.

The style guide tells ASR how to format the content of the document, things like dates, times, abbreviations, numbers in various situations to name a few. Contact the Deliver Health ShadowScribe manager for more information regarding the selection of style guides.

STOP! DO NOT COMPLETE THIS NEXT STEP UNTIL ALL PRIOR STEPS HAVE BEEN COMPLETED.

Step 6) Select in workflow where drafts should go Point the client to the style guide configuration. MTSO should decide where drafts should go in the transcription workflow.  By default all drafts go to QA Level 4.

Set the Deliver Health Configuration. This is a Deliver Health Only Option for now, meaning someone from Deliver Health will need to set this for the client.  Go to InCommand > Maintenance > Edit Relationship > ShadowScribe Settings (Deliver Health) and select the configuration that matches the client's style guide selection.

 

Once you have completed all 6 steps, the ASR speech engine is ready to use.  The next time a clinician dictates their audio will go to the speech engine.
