How To Read The Workflow Monitor Report

This article will discuss the information contained within the Workflow Monitor Report.

To access this report in InQuiry go to your "Home" tab and click on the "Reports" link shown below:

Note: if you do not see this link, you do not have access to view reports. Please contact your manager to make a request for access.

On the new window that opens, click on the link for the "Workflow Monitor Report" as shown below:

Note: If you do not see this link, you might not have access to this particular report.

The next window that opens will have the following options to filter your results. 



On the same page you can choose to schedule this report as needed or queue now. For the purpose of this article we will leave this set to queue now. 

If you do not select "Hide Detail", once you have entered your search criteria and clicked Search a report will appear that looks similar to this:

The columns refer to the following information:

TID - The transcription ID of the file

Current Status - The current status of a report ie. In Preliminary

Patient ID - The Patient ID or MRN that was associated with the file

Patient Name - The Patient Name that was associated with the file

Document Type - The Document Type of the Transcription

Seconds - The length of time in seconds of the dictation

Appt Date - The appointment date associated with the file

Dictations - The date and time the dictation was created. For dictators with voice recorders, this information is taken from the voice recorder.

Appointment Date to Dictations - The amount of time in hours between the appointment date and when it was dictated

Received - The date and time the dictation becomes available to transcriptionists

Date Dictated to Received - The amount of time in hours between the file being dictated and when it was received into our system

Delivered - The date and time the file was completed by the transcription company

Date Received to Delivered - The amount of time in hours that the file was available to the transcription company before being delivered

Marked for Review - The date and time the file was completed from the Review folder/s. Note: If this is the same date and time as in Delivered, the file skipped the review folders and went straight to the preliminary folder.

Date Delivered to Marked for Review - The amount of time in hours the file was in the Review folder/s before it was completed.

Preliminary - The date and time the file was completed from the Preliminary folder. Note: If this is the same date and time as in Delivered, the file either hasn't been completed from preliminary folder or it skipped the preliminary folder and went straight to the final folder.

Marked for Review to Preliminary - The amount of time in hours the file was in the Preliminary folder before it was completed.

Final - The date and time the file was completed from the Final folder. Note: If this is the same date and time as in Delivered, the file either hasn't been completed from final folder or it skipped the final folder and went straight to the search all folder.

Preliminary to Final - The amount of time in hours the file was in the Final folder before it was completed.


This means for example, if you were interested in how long in hours it took between a patients appointment date till when the doctor signs the transcription; you should calculate the following:

Appointment Date to Dictations + Date Dictated to Received +Date Received to Delivered + Date Delivered to Marked for Review + Marked for Review to Preliminary 

Keep in mind that if Marked for Review to Preliminary is 0 then there is a good chance that this file has not been completed yet.
