Transcription IDs (TIDs) are automatically routed to a Transcriptionist's pool based on multiple factors in the configuration of the account, and the Transcriptionist's pooling configuration. These configurations are critical in ensuring that Turnaround Times (TAT) are met and that transcription jobs are routed effectively.
The pooling priority of a TID (the order in which a job will automatically pool to a transcriptionist) is based on the following: (from highest to lowest)
- Order Assigned. Jobs manually assigned to the MT by an InCommand user will pool first, in the order they are assigned.
- Pool Priority. Specifically, the transcriptionist pool level. See the explanation below
- Job Priority. Note that this is unrelated to the "STAT" Designation. A job can be a priority 2, but not a STAT.
- Due In Time. Note that the date/time dictated is not considered in this. Due in is based on the date and time the dictation was received.
Pool Priority: This is located under Maintenance > Transcriptionists > (MT's user name) > Modify Clients and Pools for (MT's user name)
The transcriptionist currently types for the following pools: select Pool name > Edit selected pool > Update "Priority"
The Job Priority can be found in InCommand under Client Maintenance > Document Types > (select the document type) > Edit > Pricing and Priority
Due In Time is determined by up to three different configurations:
- Client Defaults > Turnaround time. This is the global setting for turnaround time (TAT) between when the transcription organization receives the dictation to when the Transcription is delivered. If the Document Type Turnaround is set to 0, the Client Turnaround time will be applied.
- Document Type. Turnaround time can be set based on document type.
- Hours of Operation. This is found in InCommand under Client Maintenance > Advanced Maintenance > Hours & Holidays. This allows a transcription organization to set different TATs based on specified hours and/or holidays.
